Terms of Use
Effective date: October 30, 2025
By accessing or using services provided by Elijah Counselling and Training Centre (ECTC), a non-profit organization registered with the District Administration Office, Lalitpur and affiliated with the Social Welfare Council of Nepal, you agree to the following Terms & Conditions. These govern our psychosocial counselling and training programs and the relationship between ECTC, its staff/volunteers, partners, and service users.
1. Services offered
ECTC provides psychosocial counselling, capacity-building training, and related community activities. Descriptions of specific programs, eligibility, schedules, and fees (if any) are published on our communications or provided at the time of enrolment/appointment.
2. Voluntary participation & informed consent
Participation in counselling or training is voluntary. Before starting any service, we will explain the nature, purpose, benefits, and potential risks. By attending sessions or courses you give informed consent to participate under these terms.
3. Confidentiality & limits
We treat client information as confidential. Information shared in counselling or training will not be disclosed outside ECTC without the client’s written consent, except where disclosure is required by law or necessary to prevent serious harm (e.g., imminent risk of suicide, harm to others, child protection concerns, court order). In those cases we will make reasonable efforts to inform the client unless doing so would increase risk.
4. Record keeping & data protection
ECTC keeps service records to support care, reporting, and administration. We store information securely and in accordance with applicable data protection obligations. By using our services you consent to the collection and use of personal information for service delivery, monitoring, and lawful reporting. For details, see our Privacy Policy or contact us.
5. Limits of counselling
Counselling aims to support psychosocial well-being but is not a substitute for medical, psychiatric, or emergency care. ECTC counsellors are not medical doctors. If a client requires medical or psychiatric intervention, we will recommend or make referrals to appropriate professionals or institutions.
6. Remote/online services
Where ECTC provides counselling or training remotely (phone, video, online), you acknowledge that remote formats have limitations (e.g., privacy risks, technological failures). You agree to take reasonable steps to ensure a private environment and to notify us of any concerns.
7. Fees, donations & refunds
Many ECTC services are offered free or subsidized as a non-profit. Where fees apply (training courses, special programs), these will be communicated in advance. Donations are voluntary and non-refundable unless otherwise stated. Refund and cancellation terms for paid courses will be provided at registration.
8. Appointments & cancellations
Clients must arrive on time for scheduled sessions. Please notify ECTC in advance if you need to cancel or reschedule. Repeated missed appointments may affect continued service provision. Specific cancellation policies for training courses will be set out at enrolment.
9. Conduct & safety
ECTC expects respectful, non-discriminatory conduct from all participants. Threatening, abusive, or violent behaviour toward staff, volunteers, or other participants will not be tolerated and may result in immediate suspension or termination of services.
10. Referrals & collaboration
ECTC may refer clients to other organizations, hospitals, schools, or specialists when appropriate. We collaborate with partner organizations to promote holistic community wellbeing; referrals may involve sharing relevant information consistent with confidentiality rules above.
11. Intellectual property
Training materials, handouts, curricula, and website content are the intellectual property of ECTC or our partners. Reproduction, distribution, or public use of materials without permission is not allowed unless explicitly stated.
12. Third-party links and partners
Our website, training, or communications may include links to third-party resources. ECTC is not responsible for the accuracy, content, or practices of external sites or partner organizations. Use of such links is at your own risk.
13. Complaints & feedback
We welcome feedback and strive to resolve complaints quickly and fairly. To raise a concern, contact our office by the contact details published on our website or at the program site. We will acknowledge complaints and respond within a reasonable timeframe.
14. Liability limitation
ECTC and its staff or volunteers will provide services in good faith and with professional care. To the maximum extent permitted by law, ECTC is not liable for indirect, incidental, or consequential losses arising from use of our services. Our total liability for any claim will be limited to the value of any fee paid for the specific service (if applicable).
15. Changes to Terms
ECTC may amend these Terms & Conditions from time to time. Updated terms will be published on our website or notified to participants where reasonable. Continued use of our services after changes constitutes acceptance of the revised terms.
16. Governing law
These Terms are governed by the laws of Nepal. Any disputes will be addressed through dialogue and, if needed, the appropriate legal processes in Nepal.
17. Emergency notice
If you or someone else is in immediate danger or experiencing a medical/psychiatric emergency, contact local emergency services or go to the nearest hospital—do not rely solely on scheduling counselling.
